Main Point
Control data by purpose and scope across its relevant representations. A local deletion or access feature does not establish end-to-end completion or compliance.
Key Points
- Establish proposed use, source rights and applicable obligations before reuse.
- Separate appropriate processing from technical protection.
- Test authorization using the application's actual identities and paths.
- Include derived representations, logs, caches, backups and recipients in the data map.
1. Trace the removal request
The fictional customer entry is deleted, while a cached answer still contains information. The first operation cannot establish completion of the broader request. Verify the requester and authority, determine scope with responsible specialists, identify representations/recipients, then perform authorized actions and verify affected access paths.
An embedding can be a derived representation with its own lookup/use path. A log might retain full content or only metadata; inspect it. Backups and retained history require their applicable treatment and evidence rather than an assumed instant global erase. Record remaining constraints accurately. Do not retain sensitive proof unnecessarily in the deletion evidence itself.
2. Test the actual access design
A prompt's tenant string does not authenticate or authorize the caller. PostgreSQL 18 row security is an implementation example: it must be enabled/configured, and superuser/BYPASSRLS roles bypass it. Owners normally bypass too unless appropriately forced; other application paths still require review. No single setting certifies isolation. [PG-RLS]
Test ordinary and privileged service identities, retrieval filters, caches, revocation and failed requests. Minimize information transferred and retained for each purpose. A secure store may still serve an inappropriate use.
3. Bound legal and model claims
ICO's UK guidance addresses purpose, minimization, storage and qualified erasure. The retrieved pages explicitly warn of review following the Data (Use and Access) Act; the principles page records a 23 March 2026 purpose-limitation update. These sources do not determine this company's jurisdiction, deadlines, exemptions or obligations. Obtain current applicable qualified assessment. [ICO-PRINCIPLES;ICO-ERASURE]
Deletion from a source does not establish a change to trained model parameters. Map any training use and seek the relevant process/obligation decision, without promising instant weight-level deletion or asserting that no action is ever needed. The worksheet requires scope, controlled action and completion evidence, with no real personal data processed.
4. A dated example
On February 23, 2024, the UK's Information Commissioner's Office announced enforcement against Serco Leisure and associated organizations over biometric attendance monitoring. The regulator said necessity and proportionality had not been shown when less intrusive cards or fobs were available. It ordered the processing stopped and biometric data destroyed where retention was not legally required. This is a historical regulatory finding and order, rather than evidence that later deletion was completed. It shows why a working collection system still needs a justified purpose, alternatives assessment and controlled follow-through.
5. Bringing the lesson together
The opening deletion request is resolved through a defined scope, an inventory and evidence for every affected path. You can distinguish a completed action from an unresolved copy or retention decision and name the responsible decision maker.
Learning Checks
Attempt each answer before expanding the reasoning.

What should a request to remove a customer's data trigger? Think about the decision, the representations and the evidence needed to describe the result honestly.
Show reasoning
Identify the applicable scope and obligations, build a lineage-aware inventory of representations and recipients, perform controlled authorized actions, and retain appropriate evidence of completion or remaining constraints. Test the affected use paths. A single visible deletion cannot establish that every relevant copy or learned effect has been addressed.
